Legal Obligations

We may share any Personal Data that we collect with third parties in conjunction with any of the activities set forth under "Meeting Legal Requirements and Enforcing Legal Terms" in the "Our Commercial or Business Purposes for Collecting Personal Data" section above.

Interview Recordings and Content

Recording Consent: All participants must provide explicit consent before any interview session is recorded. We will clearly notify all participants when recording begins and ends.

Access and Sharing: Interview recordings, notes, and related content are shared only with authorized participants in the interview process, including hiring managers, HR personnel, and other relevant stakeholders within the interviewing organization, as specifically authorized.

Retention: Interview recordings and related data are retained for up to 7 years for legal and business purposes, unless a shorter or longer retention period is required by law or specifically requested by the data subject.

AI and Machine Learning Data Usage

Workspace API Data and AI Model Development: We want to be transparent about how we handle data obtained through Google Workspace APIs and other third-party integrations in relation to artificial intelligence and machine learning development.

Data Usage for AI/ML Models

We do not use personal data obtained through Workspace APIs (including but not limited to Google Workspace, Microsoft 365, or other productivity suite integrations) to develop, improve, or train generalized artificial intelligence or machine learning models without explicit user consent.

Service-Specific AI Features

We may use aggregated and anonymized data from our Services to improve our interview platform's functionality, including:

  • Enhancing interview scheduling algorithms
  • Improving audio/video quality optimization
  • Developing platform performance analytics
  • Creating anonymized usage pattern insights

Such usage is limited to improving our specific Services and does not involve training external or generalized AI models.

Data Retention for AI Purposes

Workspace API Data: Data obtained through Workspace APIs is retained only for the duration necessary to provide our Services and is not stored for AI model training purposes. This data is subject to the same retention periods outlined in our "Data Security and Retention" section.

Anonymized Analytics: When we create anonymized, aggregated analytics from platform usage, such data cannot be traced back to individual users and may be retained indefinitely for service improvement purposes.

User Control and Consent

If we ever decide to use personal data for AI or ML model development beyond our current platform-specific improvements, we will:

  • Obtain explicit, informed consent from affected users
  • Provide clear opt-out mechanisms
  • Update this Privacy Policy with detailed information about such usage
  • Comply with all applicable data protection regulations including GDPR Article 7 requirements

Third-Party AI Services

When we use third-party AI services (such as transcription or analysis tools), we ensure these providers have appropriate data protection agreements and do not use your data for their own model training without your explicit consent.

We implement appropriate technical and organizational measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. However, no method of transmission over the internet or electronic storage is 100% secure.

Personal Data of Children

Our services are not intended for individuals under the age of 16. We do not knowingly collect personal information from children under 16 years of age.

We're constantly trying to improve our Services, so we may need to change this Privacy Policy from time to time, but we will alert you to any such changes by placing a notice on the useable.dev website, by sending you an email and/or by some other means. Please note that if you've opted not to receive legal notice emails from us (or you haven't provided us with your email address), those legal notices will still govern your use of the Services, and you are still responsible for reading and understanding them.
